Problem: Add a new Letter Template
Fix:

  1. Open the Letters log from the Project View; click Letters from the Communication folder.

  2. Click Define Templates or choose it from the Select an action… drop down menu.

  3. To add a new Letter Template click Add(Existing templates can be edited by clicking on the Edit Letter Template icon next to an existing letter template.)

  4. Enter a name for the new template. Specify the template as either Group or Project level.
    Group level Letter Templates are available to all letters in all projects within the database (group).
    Project level Letter Templates are available only to the letters created within that project and are not available to any other project within the database (group).

  5. Click on Save and Create Letter Template. This will launch Microsoft Word.
    If prompted with a warning that “Opening this document will run the following SQL command:”, click Yes.

  6. Modify the new template to suit the needs of the project or enterprise.  All text and other standard Microsoft Word elements placed in this letter will retain content and formatting when creating a letter from this template.  Expedition data can be included using functionality similar to Microsoft Word’s Mail Merge functionality.  Use the Insert Merge Field button to add Expedition fields to the Letter Template.

  7. When the template design is completed, save the document and close Microsoft Word to return to Expedition.
